We’re looking for a detail-driven Title Processor to support our Deed and Title Services team in managing deed-related transactions across our 50+ property portfolio. This role plays a vital part in protecting title integrity, maintaining compliance, and ensuring smooth, accurate processing of deed backs and recordings.

Your Impact

Deed Back Processing & Transaction Support

  • Assist with processing deed backs across Vacatia properties.
  • Prepare, coordinate, and route transaction documentation for execution and completion.
  • Track timelines to support timely and compliant processing.
  • Partner with internal stakeholders to gather required information and documentation.

Recording & Compliance Support

  • Submit legal documents for recording with applicable county and state authorities.
  • Maintain organized, audit-ready files and documentation.
  • Monitor recording status and escalate issues when needed.
  • Support adherence to regulatory, legal, and internal compliance standards.

Inventory & System Maintenance

  • Assist with deed cancellations and updates in internal systems to maintain accurate inventory.
  • Maintain up-to-date tracking tools and documentation records.
  • Help identify and resolve discrepancies that impact reporting or property availability.

Cross-Functional Collaboration

  • Provide administrative and operational support to the Deed and Title Services Department.
  • Communicate professionally with internal teams regarding transaction updates.
  • Support process improvements and contribute ideas to enhance efficiency.
  • Assist leadership with special projects and departmental initiatives.

What You Bring

  • 2+ years of experience supporting deeding services as a title clerk, title processor, real estate coordinator, or Deed Services Associate.
  • Working knowledge of real estate documentation, title searches, recording processes, trusts, probates, and vesting types preferred.
  • Experience working with documentation or record-keeping systems (Salesforce experience a plus).
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple workflows in a fast-paced, deadline-driven environment.
  • Collaborative mindset with strong written and verbal communication skills.
  • High school diploma or equivalent preferred.
